Site groups

A site is an organizational entity usually associated with:

  • A geographic location

  • An activity in a location

A site can handle several activities such as:

  • Product storage in the case of a warehouse

  • Sales for a shop

  • Accounting for an accounting entity

You can:

  • Assign documents to sites

  • Grant rights to documents with filters by sites

  • Give rights to a user on different sites

If a user belongs to an authorization group that has been added to a site group or several sites, he can only view his list of authorized sites when on a page with a site selection list.

To simplify the administration of rights across several sites, sites can be members of one or several site groups.

As every site is linked to a company, a company defines a site group by default. The Company indicator displays if the site group is associated with a company or not.

Some groups are not linked to a company and are here for grouping, reporting, and authorization purposes.

The User groups tab displays information set in the Authorization group list page. First, you need to define these settings on this page.

If authorization groups are already linked to a site group, you can select the links to edit them directly from the Name field of the User groups tab.

When you first go to the Site groups page, you land on a list of all the existing site groups. For each site group on the list, you can see its name and identification. You can also expand the lines to see the details of the sites inside each group.

Select a site group in the list to access and edit details from the detailed view. You can either select:

    • The link in the ID field
    • More actions > Edit on the site group's line

Create a site group

  1. Select Create site group.

  2. Turn the Active toggle on.

  3. Enter the site group's identification and name.

  4. Enter or select existing site groups that you want to include in your new site group.

  5. Enter or select existing sites that you want to include in your new site group.

  6. Save your changes.

The Company indicator displays if the site group is associated with a company or not. This depends on the sites in your group.

Edit a site group

  1. Select an existing site group from the list. You can either select the link in the ID field or More actions > Edit on the site group's line. If you are in the detailed view, you can use the selection panel.

  2. Edit the elements you need to update.

  3. Save your changes.

You can select the Chart button to display a flowchart of your site groups and sites organization.

Duplicate a site group

  1. Select the site group you want to duplicate from the list. You can either select the link in the ID field or More actions > Edit on the site group's line. If you are in the detailed view, you can use the selection panel.

  2. Click the Duplicate icon.

  3. Edit the elements you need to update.

  4. Save your changes.

Deactivate a site group

If you no longer want a site group to be active but do not want to delete it definitively:

  1. Select the site group you want to deactivate from the list. You can either select the link in the ID field or More actions > Edit on the site group's line. If you are in the detailed view, you can use the selection panel.

  2. Turn the Active toggle off.

  3. Save your modification.

Delete a site group definitively

There are two ways of deleting a site group.

Delete from the site groups list

  1. Select the More actions > Delete button on the line of the site group you want to remove.

  2. A message displays. Select Delete to confirm your deletion.

Delete from the site group's page

  1. From the list, select the link in the ID field of the site group you want to delete to go to the site group's page.

  2. Select Edit site group.

  3. Click the Delete icon.

  4. A message displays. Select Delete to confirm your deletion.
