Stock count creation

To prepare for a stocktake to make sure your records are accurate and correct, you create a stock count record that identifies all stock items that need to be counted at a specific site or warehouse.

The stock count results set is displayed on the Stock count page with the selection criteria that was applied when the count was created. You enter the physical counted quantities of each item on the Stock count page.

Prepare for a stock count

  1. Select Create.
  2. To prepare for a stock count, you need to enter or select the stock Site or warehouse for the count.
  3. To prepare the list of stock items to count, you can filter for:

    • One or a range of stock items stored at the site or warehouse.
    • The category of the stock items.
    • Stock items stored in one or multiple storage zones at the site or warehouse and locations in those storage zones, if the In stock only switch is ON.
    • The last time stock at the site or warehouse was counted.

      If you filter for a previous count date, only those items that were last counted before your specified date or have never been counted are considered.

    You can also leave all search criteria blank if you need all items in the site or warehouse counted.

  4. Switch ON In stock only if you only want to include items that are in stock in your stock count. Or switch it OFF if you also want to include out of stock items.

  5. Enter a description to identify the stock count results set.

    You could enter a description that reflects the purpose of the stock count or the storage area selected for the count, for example. This will help you identify the exact set of results.

  6. Leave the current date, or enter or select the date for the stocktake.
  7. Save.

Finalize the stock count details

  1. The grid populates with stock items based on your selections.

    If you need to remove a stock item from the count, clear the checkbox from the item line.

  2. Check that the calculated quantities reflect what you would expect to be included in the count.

    In the grid, the Number of items will be less than the Number of stock details if multiple lots, sublots, storage areas, or inspection statuses for the same stock item are selected for the count.
  3. To confirm the stock count details, select Create. You are then automatically directed to the associated stock count record.
  4. To request additional stock counts, prepare a new stock count.
View the generated stock count results set and enter counted quantities in the Stock count page.

Working with stock counts

How do I request a full stocktake?

You need to enter or select the stock Site or warehouse for the count and leave all other search criteria blank. All stock items stored at the site or warehouse are added to the stock count results set.

Can I request a partial stocktake?

Yes. Enter or select a stock Site, then enter the criteria to filter for the stock items stored at the site or warehouse to count.

I want to create a stocktake for a specified number of items which I select by hand. Can I do this?

Yes. Selecting stock items by hand is useful for small-scale stocktakes of a small number of items. You need to enter or select a stock Site. Above the grid, clear the Select all checkbox, then select the stock items that you want to count from the list of stock items at the site.

I want to cross-check a full stocktake. How do I do this?

You need to create a new stock count. Enter or select a stock Site, then enter the criteria to filter for the stock items stored at the site or warehouse. Above the grid, clear the Select all checkbox, then select the stock items to recount from the list of stock items at the site.
